THE OPERATING PROCESS
Your first batch.
Your next stock release.
Start with the product and the help you need. Agree the China work, prepare the accepted batch and review the remaining stock before planning the next release.
From the first discussion to a recorded handover.
Start at the stage relevant to your stock. Already packed shipments may need freight and handover coordination; local returns begin with route acceptance and an agreed inspection scope.
- 01
Brief & scope
Share the product, approximate quantity, suppliers and destination. Unknown dates or measurements can stay open while the accepted work and quote are discussed.
- 02
Supplier intake
Agree delivery references and expected stock. Record receiving differences before prep proceeds.
- 03
Prep approval
Approve label files, packaging instructions and a sample where required.
- 04
Prepare & reconcile
Complete the agreed work and reconcile ready, held and unallocated stock.
- 05
Release decision
Approve finished quantities, carton records and the actual receiving destination.
- 06
Handover & follow-up
Coordinate the agreed carrier or warehouse handover and the route for exceptions or returns.
Three approvals keep the work moving.
| Approval point | Seller decision | Useful guide |
|---|---|---|
| Before receiving | Confirm the supplier reference, expected stock and receiving scope. | Supplier handover |
| Before preparation | Approve the label version, packaging instructions and any agreed sample. | Barcode allocation |
| Before dispatch | Approve the specified prepared quantities, carton records and confirmed destination. | Inbound release |
What does “release” mean?
Release is your approval to dispatch specified prepared quantities to the confirmed destination.
It connects the finished stock record with the shipment instructions. Keep damaged, mismatched or unapproved quantities on hold while the ready allocation proceeds under its own approval.
Who approves what?
| Decision or execution | Responsibility |
|---|---|
| Product, listing and final platform shipment plan | Seller |
| China supplier coordination, receiving and agreed prep | SinoWarehousing team |
| Agreed shipment coordination and release records | SinoWarehousing team within the accepted service scope |
| Freight and destination receiving execution | Confirmed carrier or execution partner |
| Importer status, taxes and product legal compliance | Seller with qualified advisers |
| Substitutions, additional work and stock disposition | Seller approval recorded before execution |
If the plan changes.
Link the change to the affected SKU and quantity. Agree the proposed action, charge and timing impact, then update the stock and shipment records before the work continues.
Review change approvalsAFTER THE FIRST SHIPMENT
Use the reviewed balance for the next batch.
After dispatch, reconcile what remains in China. For the next release, confirm supplier arrivals, reserved quantities and current channel instructions before reusing a label file or packing version.
Each batch has its own work approval and transport scope. Changes to quantities, materials or destination instructions can change the quotation.
Discuss your first batch or next release.
Share the product, quantity, destination and the instructions you have. Receiving acceptance and the service scope are confirmed before supplier delivery or batch work is authorized.
