CHOOSE THE SOURCING SCOPE

Choose the work before stock arrives.

You already have a supplier.

Scope delivery coordination, receiving and preparation using your purchase reference, accepted specification and expected arrival dates.

Review receiving & consolidation

You need supplier options or samples.

Agree the search brief, sample review and commercial comparison. Supplier selection, purchasing approval and accepted buying terms remain with your team.

Review sourcing tasks

Several suppliers contribute to one kit.

Connect component specifications and arrivals with the bill of materials, permitted substitutions and completed-set criteria.

Review kit assembly

Keep the buying costs separate.

Identify product purchase costs, samples, coordination work and later stock handling in the written quote. Agree the coordination fee basis where applicable before commissioning supplier search or sample work.

Separate purchase cost from shipment cost.

Review product cost, China domestic delivery, receiving, prep materials, storage, international transport and destination charges separately. A cheaper supplier price may mean more packing work or a different carton size.

Product authenticity, certification and the supplier’s production performance need their own review. The sourcing brief should say which checks you are commissioning and which buying decisions remain with your team.

THE HANDOVER RECORD

Keep the buying decision traceable.

Agree the product specification, supplier or purchase references, approved sample and delivery schedule. Record any substitution before it enters the stock plan.

Records to include in the agreed scope

  1. 01

    Approved specification and sample reference

  2. 02

    Purchase and supplier references

  3. 03

Supplier delivery schedule and receiving allocation

Agree the scope before work begins.

Supplier checks and sample review are scoped activities, not a guarantee of factory performance. Purchases, substitutions and payment arrangements require your approval.

Confirm materials, labor, storage, transport, destination charges and the release approval in writing. See the pricing scope for the cost categories.

Keep the next stage connected.

Service scope and responsibilities.

Can I use suppliers I already work with?

Yes. Start with the purchase reference, agreed specification and expected delivery dates. Supplier coordination can be scoped without commissioning a new supplier search.

Who approves samples and substitutions?

You approve the sample and any material, variant or component substitution before it enters the purchase or stock plan.

Keep the approved specification with the findings

Keep the approved specification, inspection findings and exception decision together before the batch moves into preparation.

OPERATIONS RECORD

Agree the packing instructions before work begins. Record the finished carton dimensions, gross weight, and approved packing version before dispatch.

Shared Jeton Express operations photo. Request the evidence agreed for your own batch.

  1. Specification: Confirm product variant, materials, dimensions and packaging requirements. Date the agreed specification and sample reference.
  2. Check scope: Agree sample size, inspection points and reporting format. Visual or sample checks do not replace required product testing or regulatory certification.
  3. Exception decision: Record shortages, visible defects or specification differences. Ask the authorized approver whether to hold, rework, return or accept the exception.
  4. Preparation handoff: Pass the approved variant, quantity and packaging version to the receiving or prep plan. An approved sample does not automatically approve every production unit.
