GUIDE / EXCEPTION HANDLING

Resolve the difference.
Then release the stock.

A clear hold instruction helps prevent a supplier mismatch from becoming a platform receiving problem.

Use an exception decision record.

A simple approval sequence.

  1. 01

    Identify

Keep affected stock distinct from ready inventory.

  2. 02

    Review

Connect the evidence to the supplier, SKU, batch and intended channel.

  3. 03

    Approve

Agree the work, extra charge and timing before execution.

  4. 04

    Reconcile

Record the finished quantity and remaining held balance before release.

Give a quantity difference a clear owner.

Compare expected and observed quantities against one batch and one physical SKU. Record the counting basis before deciding whether the difference concerns cartons, individual units or a platform receiving record.

StepRecord or decision
LocateBatch, physical SKU, destination or supplier reference and the stage where the difference appeared
CompareExpected quantity, observed quantity, unit of measure and the scope actually checked
AssignWho obtains supplier, carrier or seller-account evidence, and who approves the next action
Hold or releaseAffected stock kept separate; any partial release needs an approved quantity and carton plan
CloseVerified correction, remaining stock balance and the instruction used for release

Leave unresolved quantities visible in the record. Do not replace an unknown unit count with an estimate presented as verified stock.

Plan storage while the decision remains open

Questions before you approve the work.

What should an exception approval include?

Identify the batch and SKU, expected and observed quantities, photos or scan evidence, the proposed work and any cost or timing changes. Name the approver and record the instruction before rework starts.

Can unaffected stock leave while one variant is being checked?

Assess whether the unaffected quantity can be identified and separated reliably. Confirm a revised carton record and shipment plan before a partial release. Stock with unresolved identity or handling instructions should remain on hold.

What if the delivery location and shipping label disagree?

Pause the affected handover and compare the approved destination or dispatch location with the label and order record. Confirm the correction with the responsible seller, operator or carrier before dispatch. Review order-level dispatch checks.

Close the decision before planning another release.

After approved work, reconcile the affected quantity, completed units and remaining held stock. Keep the instruction and current label or packing version with the finished record.

Discuss the exception for this batch.

Share the supplier or shipment reference, SKU, counting basis, observed difference and evidence available. The team can help scope the next action while unresolved stock stays distinct.

Keep the checks connected.
