CONNECT FREIGHT WITH THE STOCK

Quote each release from its finished cartons.

A supplier’s estimated packaging and a prepared shipment can have different measurements. For repeat replenishment, confirm the selected quantity, finished cartons, transport scope and receiving plan for each release.

Choose transport around the constraint.

01

Air freight

Useful when
Readiness and delivery deadline justify a faster main leg
Confirm before quotation
Final weight/dimensions, product acceptance and destination handling
02

Sea freight / consolidated cargo

Useful when
Volume and replenishment planning support a longer main leg
Confirm before quotation
Carton or pallet volume, cutoffs and destination charges
03

Parcel or express

Useful when
Samples or suitable small shipments can use a parcel route
Confirm before quotation
Chargeable weight, restrictions, recipient details and import responsibility

Four responsibilities to settle before dispatch.

Import

Who acts as importer, supplies the required product information and handles duties and tax?

Receiving

Which exact address and program will receive this stock, and who confirms product acceptance?

Appointment

Who books delivery, provides reference numbers and coordinates unloading?

Exception

Who approves additional storage, rework, redelivery or return costs if the receiving plan changes?

THE HANDOVER RECORD

Approve freight from the finished stock.

Use final packed measurements for the shipment plan. A quote based on loose products may change after protective packaging, kits or pallets are added.

Records to include in the agreed scope

  1. 01

Final packing list and commercial-invoice information

  2. 02

Agreed route, charges and importer responsibility

  3. 03

    Destination receiving and appointment arrangements

  4. 04

Carrier and handover references when available

Retain the sealed-package measurements

Where included in the agreed scope, link each carton ID to its sealed outer dimensions, packed weight, packaging type and tracking reference. Retain measurement photos against that reference. If a shipping charge changes, compare the carrier’s stated reason with the dispatch record and use the seller’s applicable dispute route; evidence does not guarantee reversal.

A USEFUL FIRST MESSAGE

Plan freight from the packed stock.

Share the details you have on WhatsApp or Telegram. Mark anything still undecided so the team can identify the next step.

Say whether the figures are supplier estimates or measurements of the sealed shipment. Note any packing, kit or pallet work still to finish so provisional costs can be distinguished from the final freight basis.

Your freight brief

  • Origin / receiving destination
  • Carton count / outer dimensions / gross weights
  • Product description / cargo value
  • Estimated or measured / packing & shipment files
  • Importer / appointment responsibility
  • Ready date / required delivery window
Supporting details for the scope
  • Origin, destination and receiving contact
  • Carton IDs, per-carton outer dimensions and gross weights, with measurement units and cargo value
  • Supplier estimates or sealed-carton measurements, packing still to finish and the stock ready date
  • Commercial invoice, commodity description and available product documents
  • Incoterm, importer responsibility and platform appointment instructions

Agree the scope before work begins.

Freight prices and transit estimates depend on the confirmed shipment. Customs clearance, duties, taxes, customs inspections, storage and delivery appointments may be charged separately. VAT, EPR and product compliance require qualified review.

Confirm materials, labor, storage, transport, destination charges and the release approval in writing. See the pricing scope for the cost categories.

Resolve the remaining shipment decisions.

Service scope and responsibilities.

Is warehouse delivery included with prep?

Include it explicitly in the quote. Freight, destination handling and appointments may be separate from unit preparation.

Why use final packed dimensions?

Materials, kits and pallets can change the shipment volume and chargeable weight. Confirm transport from the finished stock rather than the loose product specification.
