Split stock across channels without mixing barcode files
A practical approval workflow for product identity, channel allocations and label versions.
Prepared by SinoWarehousing · Original workflow guidance with linked platform sources.
Start with product identity, then channel identity.
Keep a master product and variant record. Create a separate allocation for each marketplace, country and inbound plan. The warehouse reference helps reconcile stock; it does not replace a marketplace-approved identifier.
Three platform differences to verify.
For US WFS, the label guide specifies UPC or GTIN and excludes FNSKU, EAN and vendor SKU identifiers. For bol, the inbound guide requires the product barcode to match the advance notification and one visible scannable barcode per item.

For new US Amazon FBA shipments under the March 31, 2026 rules, resellers—including authorized resellers—need Amazon unit barcodes. Manufacturer-barcode eligibility depends on the seller’s Brand Representative role, the product’s Brand Registry link and product eligibility. GTIN-exempt products still need Amazon barcodes.
If the Amazon barcode method applies, use its approved unit label and cover competing product barcodes while retaining serial-number and Transparency codes. Keep this allocation separate from WFS and bol label files. Existing Amazon stickerless stock already in transit or stored before the change has a separate transition rule; do not relabel the entire inventory by default.

A controlled label approval sequence.
| Decision | Release evidence |
|---|---|
| Receive | Reconcile actual product variants and quantities against the intake record |
| Allocate | Approve quantities by channel before handling begins |
| Approve sample | Match identifier value, readability, placement and packaging to the current instructions |
| Process | Keep label files and finished stock separated by approved allocation |
| Reconcile | Compare finished units and carton contents with each inbound plan |
Check the scanned value, not just the printed text.
A label can display the expected SKU text while encoding a different value. Compare the physical variant, approved label file and result from scanning the finished label. A photograph of the printed text alone does not complete this check.
| Record | What to check |
|---|---|
| Identity mapping | Product photo, physical SKU, channel identifier and approved label version |
| Scan evidence | Decoded value from the finished label, matched to the approved identifier |
| Inspection scope | Batch, variants and units checked; identify any limits to the agreed inspection |
| Mismatch | Hold affected stock and record the approved correction before release |
Agree the checking scope before work starts. Sampling does not establish that every unit has been inspected.
Illustrative split: the same product, two destinations.
A seller allocates 300 units to WFS and 200 to bol. Keep two approved label files and two carton records. If the received variant differs from the order, hold that stock before labeling. This is a planning example, not a customer result.
Stop release when the record does not match.
- The label belongs to another size, colour or product.
- A previous shipment file still points to an old destination.
- Channel allocations exceed available approved stock.
- The seller has not approved a substitute identifier or packaging change.

Label mismatch: hold and reconcile
If two SKU labels have been mixed, isolate the affected batch and record the physical count for each product. Have the seller approve the corrected SKU-to-label mapping before reprinting. Move superseded files out of the active work queue, retain the version record and approve a scanned sample before releasing the batch.
Next decision: authorize the shipment.
Once the units and identifiers are approved, check the carton record and destination plan before stock is released.
Discuss this allocation and label version.
Share the physical SKU and variant mapping, quantities by channel, destination and current seller-approved label files. Include any available scan result or mismatch record and identify anything still awaiting approval. Product acceptance, work, charges and receiving address need written confirmation.
