Small batch prep: approve one sample, then record each carton
A small batch still needs a clear reference for repeated work. Approving one unit sample and recording each finished carton gives the seller a concrete point to review when labels, packaging or destination instructions change. The sequence below is a proposed prep control, with a separate US WFS labeling example.
Prepared by SinoWarehousing · Workflow proposals with linked platform guidance.
Define the unit you are preparing
Begin with the physical SKU, variant, counting unit and intended destination. For a kit, list the required components and inserts before using a finished-set count. Separate stock already approved for preparation from units held for a quantity, identity or condition decision.
Attach the seller-approved label file and packaging version to this batch. A file used in the previous shipment may point to a different variant, carton or receiving plan. Keep its version and approval date with the current instruction.
Review one finished sample
Check the sample’s identity, included contents, protection and visible labeling against the approved brief. Scan a printed sample for readability, then compare the decoded value with the seller’s intended product mapping. These are separate checks: a readable barcode can still identify the wrong variant.
In the cited US WFS guide, individual sellable units need scannable UPC or GTIN labels; item labels and receiving labels serve different purposes. Receiving labels identify the shipment and are not carrier labels. Apply the current seller-approved files to the correct level of the shipment.
Agree whether photos, sample scans and any further testing are included in the handling scope. The sample approval should identify what was reviewed rather than imply that every product function was tested.
Give every carton a record before sealing
| Record | What to retain |
|---|---|
| Carton identity | A carton ID linked to the current batch and destination |
| Contents | SKU or finished-kit mapping, quantities and exceptions |
| Label version | Current receiving and carrier files, as applicable |
| Dispatch measurements | Sealed outer dimensions, packed weight and packaging type |
| Release | Approving person, final quantity and handover reference |
After sealing, measure the carton in the condition in which it will be dispatched. Supplier empty-box dimensions and a packed carton’s measurements may differ. Keep the approved booking information with the carton reference.
Restart the affected check when the work changes
A new packaging material, revised insert, changed label file or printer adjustment can change the finished output. Pause the affected part of the batch, review the sample or record that changed and obtain the seller’s decision before repeating it. Keep earlier approved versions distinguishable from the active instruction.
Illustrative example: one variant’s label is revised after the first carton is sealed. Identify which units used the earlier file, check the seller’s correction instruction and record any approved rework. Do not assume the unopened cartons used the same version.
Reconcile before handover
Compare the units prepared, units packed, stock remaining and exceptions held against the approved batch. Match final shipment labels to carton IDs and the accepted destination. Keep the actual dispatch reference with the released quantity.
This sequence organizes the checks; it does not promise a specific preparation time, cost saving or platform acceptance. Share the product, approximate quantity, destination and current files to agree the accepted China work.
Sources and scope

The workflow is an editorial proposal, not a platform packing-station requirement or a measured efficiency claim. WFS labeling facts apply to the US WFS guidance cited below. Confirm the current program-specific files before work begins.
