One Stock Pool, Several Marketplaces: What to Include in Your Warehouse Handover

Prepared by SinoWarehousing · Jeton Express

A shared stock record helps you explain where each unit can go. It does not remove the need for separate destination instructions. Before stock arrives, prepare a handover that connects supplier deliveries, product identities and the next release.

List the routes, not just the platform names

Amazon FBA and an order shipped directly to a buyer require different handovers. For every channel, identify who places the shipping instruction, who accepts the goods and whether the next movement is a bulk warehouse delivery or an individual order. Confirm destination acceptance before allocating stock.

Use one product identity with separate allocations

Keep the seller SKU, product variant, supplier batch and counting unit together. Record quantities available for allocation, already reserved and held for review separately. A carton count should not be compared with a unit count without an agreed conversion. Date the record so another person can see which snapshot was used.

Approve labels after the destination is known

Attach the current label files and packaging instructions to the intended release. Keep another channel’s stock separate while labels are being applied. If a destination or quantity changes after prep, identify the affected units and review the label instructions before continuing.

Give each release a clear approval

A useful instruction names the SKU, units, destination, planned date and approving person. Include what stays in storage and what remains on hold. Record the actual dispatch against that instruction, rather than treating every received unit as ready to ship.

Resolve differences at the right stage

Keep supplier shortfalls, warehouse receiving differences and destination receiving differences in separate dated records. Identify the stage that needs a decision and the supporting carton or parcel reference. This checklist describes a proposed handover process; it does not promise automatic marketplace synchronization.
