Tracking says delivered: reconcile the return before moving stock

A delivered tracking event is a useful starting point when a return is difficult to match. It does not answer every receiving question. Build a dated record that connects the parcel to the expected return, then identify which stage needs follow-up before approving a new stock action.

Prepared by SinoWarehousing · Workflow proposals with linked platform guidance.

Identify the receiving route first

Check whether the record concerns a buyer return, a platform inventory removal or a seller-arranged parcel. Retain the country, program, return or removal reference and receiving operator. Confirm that the address was accepted for this product and route before using it to interpret a delivery event.

US WFS customer-return guidance directs sellers to review the return rules and Customer Returns Report when returned stock has not reached them. For US FBT returns routed to an FBT warehouse, TikTok Shop manages inspection and refund review using warehouse evidence. Those platform routes are separate from an independently agreed receiving service.

Keep each event in its own row

EventRecord to retainQuestion it answers
Expected returnReturn reference, expected SKU and quantity, accepted addressWhat parcel or stock was expected?
Carrier deliveryTracking reference, event time and available delivery evidenceWhat movement did the carrier record?
Physical receiptReceiving date, parcel ID and scope of counting completedWhat was recorded at the receiving location?
InspectionAgreed checks, observations and linked photos where includedWhat identity or condition was actually checked?

Customer refund and dispute records belong alongside this sequence, under the applicable platform or seller process. A physical receipt alone does not approve a refund, a replacement or restocking.

Narrow the difference before drawing a conclusion

Compare the exact tracking number and receiving address, not just the product name. Check whether the carrier event and warehouse entry refer to the same parcel and date. Note whether a receiving entry covers a sealed carton or a verified unit count.

If a parcel cannot be matched, keep its identifier and observed condition in an exception record. Preserve earlier entries rather than replacing them with a guessed explanation. Ask the responsible party to review the specific stage and reference; appearance or a tracking mismatch does not establish misconduct.

Use an exception record for unidentified contents

Illustrative example: two return references are expected, but a received parcel contains no readable return slip. Record the parcel’s tracking label, receiving time and the identity checks included in the scope. Keep the affected stock on hold while the seller matches it to the correct reference. Do not record both returns as complete merely because one parcel arrived.

If opening or inspecting the parcel was not included in the agreed work, obtain the relevant instruction before expanding the checks. Photos and packaging observations do not establish functionality, safety or authenticity.

Approve the next physical action separately

Once the identity question is resolved, ask the seller for a dated instruction covering the verified units: continued hold, agreed inspection, repacking or movement to an accepted destination. Retain any change in handling scope and the completed quantity.

Use the current account process for platform cases and eligibility. An outside receiving record can document accepted physical work; it cannot guarantee a refund, reimbursement, resale eligibility or a dispute outcome.

Sources and scope

Platform descriptions apply to US WFS and US TikTok Shop FBT return routes. External receiving steps are proposed operating checks. They do not assign fault, establish that a refund is due, or replace the applicable seller or platform case process.
