Collectible returns: record the item and its retail packaging separately

For a collectible, the retail box or display card can matter to the seller’s next decision even when the product appears intact. Keep product identity, visible item condition, retail packaging and accessories in separate entries. Describe what was observed before the seller chooses inspection, continued hold, repacking or another accepted stock action.

Prepared by SinoWarehousing · Practical records with linked platform guidance.

Confirm the route and inspection scope first

Identify the expected return reference, tracking number, receiving operator, country and program. Confirm the accepted return address and which checks are included before the parcel is sent. Receiving a parcel, matching its identity and inspecting its condition are different stages of work.

In the US FBT customer returns guide, identity-only handling verifies whether the expected item was returned; it does not assess damage or sellability. A condition-inspection service includes checks such as visible damage, odors and missing components. Confirm the selected service and item configuration rather than assuming every return receives the same inspection.

Keep four observations separate

Illustrative collectible-return record with separate identity, product, retail-packaging and accessory observations leading to a seller-approved stock instruction.
Illustrative receiving record. Keep identity, visible product condition, retail packaging and accessories as separate observations linked to the parcel. Mark unopened contents unchecked, then connect the evidence to the seller-approved stock instruction; the observations do not establish a resale grade.
RecordDescribe what was checkedLeave unresolved where outside scope

ProductVisible surface condition and seal stateFunctionality or safety without agreed testing
Retail packagingCreases, tears, crushed corners, missing sleeves or disturbed sealsResale grade and whether original packing can be restored
AccessoriesObserved inserts and components against an approved listCompleteness where the contents were not opened or counted

Use a dated parcel or item reference in every photo set. Where work is limited to external observation, mark unopened contents as unchecked. A clear record of the inspection boundary is more useful than an unsupported “good” or “bad” label.

Describe the packaging without grading the item

Illustrative example: a returned figure appears sealed, while one corner of its display box is creased. Record those two observations separately, attach the agreed photos and hold the seller’s resale decision open. The intact seal does not establish authenticity or internal condition; the creased box does not prove that the figure itself is damaged.

Distinguish the carrier’s outer shipping carton from the product’s retail box. Record whether protection material, retail packaging or the product surface was affected. Do not replace original retail packaging or remove seals without a specific instruction covering that work.

Link the observations to a seller decision

Ask the seller to identify the units and next action: continued hold, an agreed additional inspection, approved repacking or movement to an accepted destination. Retain the date, approving person, evidence reviewed and any expansion of the original handling scope.

Platform customer refunds and physical stock instructions remain separate records. An outside receiving observation does not determine a platform case, reimbursement, resale eligibility or responsibility for the condition. Use the applicable account process for those decisions.

Close the record with the completed action

Keep the verified quantity, action actually performed, stock remaining on hold and dispatch reference where relevant. If a later inspection finds additional information, add it as a new dated entry rather than silently changing the first observation.

For a SinoWarehousing inquiry, share the product type, expected return quantity, present location, route and requested evidence. Receiving addresses, handling restrictions and available actions need shipment-specific acceptance before stock is redirected.

Sources and scope

Sources checked 6 October 2026. Recheck the current seller program and account instructions before acting.

This is a proposed receiving record, not an authenticity assessment, resale grade or platform refund decision. The FBT example applies to the cited US TikTok Shop return-service guidance. Other programs and external receiving operators can have different scopes.
