WFS Product Sourcing: Keep Brand Documents Separate from Warehouse Prep

Prepared by SinoWarehousing · Jeton Express

When discussing stock intended for Walmart WFS, keep sourcing documents and physical warehouse instructions connected but distinct. A warehouse can record goods and perform agreed prep without deciding whether the seller or product has marketplace approval.

Assign the responsibilities

Identify who selects the supplier, retains purchase records, checks the seller account requirements and approves the shipping plan. Give the warehouse the accepted product identity and handling instructions. Avoid treating a successful physical receiving check as evidence of a platform approval.

Keep the relevant documents accessible

Link supplier invoices and any applicable authorization records to the product and batch. Check that product descriptions and identifiers refer to the goods being handed over. This guide does not assert that every WFS shipment needs the same authorization document; requirements must be checked for the account, product and current official process.

Match documents to physical stock

Compare the expected SKU, variant and quantity with the receiving record. Record an identity difference before labeling or dispatch. If a document refers to a different item, ask the seller to resolve the record rather than silently substituting another product identity.

Check approval separately from preparation

The Facebook source for this topic is a hiring request describing one buyer’s expectations. It is not a Walmart rule. Confirm applicable requirements in the current Walmart seller guidance and seller account before acting. No brand approval, partnership or account-health outcome is promised here.

Release against confirmed instructions

Before dispatch, confirm the accepted destination, item identifiers, current labels, approved quantities and shipment references. Keep unresolved stock on the agreed hold record. If a sourcing or approval question remains open, identify the owner and decision required before stock moves.
