GUIDE / PACKING & HANDOVER
Large-item packing & handover
Connect the packed sellable set with the carrier service, receiving access and agreed unloading arrangements.
Approve the finished packing.
| Control | Record to approve | Next decision |
|---|---|---|
| Sellable set | Product, variant and every carton belonging to that unit. | Check that accessories and assembly components are complete. |
| Protection | Approved corner, surface and internal protection with packing photos. | Agree what visible-condition inspection is included. |
| Measurements | Final carton or pallet dimensions and gross weights. | Confirm the executing operator accepts the packed goods. |
| Handling | Receiving access, unloading responsibility and appointment where needed. | Approve the delivery arrangement before release. |
Connect four handovers.
- 01
Supplier to China receiving
Identify the complete unit or set and reconcile each incoming carton.
- 02
China prep to freight
Approve protection, final packed measurements and the actual destination scope.
- 03
Freight to destination operator
Confirm appointment, access, unloading and delivery evidence for the receiving location.
- 04
Returned stock to disposition
Record the actual condition and approve reuse, rework, replacement or another agreed action.
Keep the unit and cartons linked.
Planning example: One flat-pack unit uses two cartons. Record both carton references against the same sellable unit; keep an incomplete pair on hold until the seller approves the next action.
Reconcile complete units, loose components and held stock separately. The packed count should match the release record and the actual receiving instructions.
Two cartons in this planning example make one sellable unit. A receipt for one carton is an incomplete set; confirm the missing carton and the seller’s approved next action before treating the unit as complete.
Agree the delivery responsibilities.
- Executing carrier and the accepted delivery service
- Receiving contact, access and appointment requirements
- Who unloads, and any handling equipment required by the operator
- Evidence for visible damage, missing cartons or refused delivery
Use the carrier and receiving operator’s product-specific instructions for carton or pallet preparation. Import responsibility and any restricted handling need separate acceptance.
Plan the return collection.
Agree collection and receiving before arranging a bulky return. Record the order, complete carton set, received condition and missing parts. Confirm whether the stock can be restocked, repacked or reworked under the agreed inspection scope.
Confirm the accepted collection and receiving arrangement before the return moves. Approve the stock disposition from the actual receiving and condition record.
Review return stock decisionsPrepare the discussion.
- Outbound shipment or return collection, country and current stock location
- Product and assembly or kit specification
- Unit/carton quantities, photos and packed measurements
- Destination platform, receiving contact and delivery service
- Required protection, handling and returns support
Operational planning guide. Current carrier instructions, destination acceptance and the written service scope govern the shipment.
