OPERATING NOTES · 6 OCTOBER 2026
Available stock needs a state, a location and a timestamp
Prepared by SinoWarehousing · Practical handover checks with linked platform guidance.
A stock count becomes useful when the next person can tell what it represents. A China warehouse count, a marketplace quantity and a quantity already reserved for orders may describe different parts of the same physical pool.
Keep the platform labels
Shopify distinguishes on-hand stock from available, committed, unavailable and incoming inventory. Inventory tracking and the actual location configuration matter. These distinctions do not establish a connection to another marketplace or an outside warehouse.
Prepare one handover record
As an operating proposal, include the physical SKU, counting unit, location, observed quantity, reservations, held units, intended destination and timestamp. Keep the seller’s platform labels beside exported quantities. Mark unknown information as unknown and ask the seller to approve the allocation before dispatch.
Compare before releasing stock
A later export can describe a later situation. Compare records for the same SKU, location and time before adjusting a dispatch plan. Record the decision owner and approved quantity. Confirm destination and handling acceptance for the actual shipment.
