Before moving slow stock: build a batch decision record

When a batch is selling slowly, the next warehouse instruction needs more detail than “remove it” or “keep it.” Identify the units affected, the question still open and the person approving the next step. A stock-age report can help start that review; the physical work still needs its own scope.

Prepared by SinoWarehousing · Workflow proposals with linked platform guidance.

Start with the batch you can identify

Keep the physical SKU, variant, batch or lot reference, present location and quantity basis together. If only cartons have been received, mark the unit count as unverified until the agreed counting work is complete. A seller’s expected quantity and a warehouse’s counted quantity should remain separate entries.

Also record what the age field measures. A platform’s storage-age band, a supplier’s production date and the date an outside operator received the cartons describe different events. Preserve the original field name and report date when carrying that information into a decision brief.

Use the platform report as context

The US WFS inventory health report includes stock-age information, sales history and quantities in different states. Its replenishment suggestions consider forecast demand, available stock and units in transit. These fields help a seller review a batch, but a forecast is not an instruction to a China operator.

Ask the seller to identify which units are still available, which are reserved and which need a separate check. Confirm the current account charges and any platform removal requirements before selecting a movement. Use the current account charges and shipment-specific quotation when comparing the accepted options.

Turn the review into a specific instruction

DecisionInformation to confirmApproval to retain
Continue holdingAccepted quantity, location, handling restrictions and next review dateStorage scope, charges and review owner
Inspect or reworkUnits covered, checks requested, materials and expected evidenceApproved checklist and any scope change
Move the stockStock ready to release, receiving operator and accepted destinationShipment scope, release quantity and address confirmation
Assess disposalAffected units and the operator’s accepted handling methodSpecific seller instruction and completion record

These are possible questions for an accepted batch. Confirm which actions the actual operator can perform before approving one. Holding goods does not authorize a later inspection, relabeling or disposal.

Keep a small release separate from the remainder

Illustrative planning example: a seller has a verified batch of 240 units and approves 60 for an accepted destination. Record the 60-unit allocation, any preparation required and the release approval. Keep the remaining 180 on a separate hold instruction with a review date. These are fictional quantities, not a customer result.

If the final dispatch differs from the approved quantity, record the actual movement and ask for a revised instruction. Do not silently turn the unshipped units into stock available for another channel.

Close the decision with the next stock balance

Retain the instruction date, approving person, completed work quantity and dispatch or disposal reference as applicable. Record unresolved units explicitly so the next review starts with what remains physically held.

For a SinoWarehousing discussion, share the product, quantity basis, current location and decision being considered. China handling, destination availability, return addresses and charges require acceptance for the actual shipment.
