How does a China stock plan connect receiving and release?

SinoWarehousing coordinates receiving, storage and consolidation of supplier goods in China under an agreed counting and handling scope. Each supplier arrival is connected to its receiving reference, SKU and quantity basis: cartons, units or components. A sealed-carton receipt does not verify the units inside. Before a release, keep the physical China balance separate from expected arrivals and already dispatched quantities, then identify prepared, reserved or held stock within that balance. Agree the destination, approved release quantity, remaining stock and review time before goods move.

BEYOND THE FIRST DELIVERY

Receive once. Plan separate releases.

Use a China stock plan when supplier deliveries arrive at different times or the same SKU feeds several channels. Agree what to count on arrival, what remains in storage and which quantities are reserved for the next shipment.

Plan the inventory states.

Resolve differences before prep
03

04

Release decision
Written restock, rework or disposition approval

These records describe different handovers and checks. Expected arrivals and stock already dispatched are separate from the physical China balance. Prepared quantities, reservations and restrictions describe that stock and should not be added to it as extra units. Record the location and review time for the balance.

THE HANDOVER RECORD

Reconcile stock before it moves.

A receiving count, an available stock balance and an approved release quantity are different records. Keep unresolved differences visible until a decision is approved.

Records to include in the agreed scope

  1. 01

Expected versus recorded quantities, stating cartons, units or components and what remains unverified

  2. 02

Visible-condition notes and agreed inspection evidence

  3. 03

Unresolved discrepancies and their approved treatment

  4. 04

Released quantity by destination and remaining balance

A USEFUL FIRST MESSAGE

Plan the next supplier delivery.

Share the details you have on WhatsApp or Telegram. Mark anything still undecided so the team can identify the next step.

Confirm product acceptance, the receiving reference and delivery address before suppliers send goods. State whether the requested arrival check is by carton, unit or component; sealed-carton receiving does not confirm the units inside.

Your receiving brief

  • Supplier / purchase references
  • Expected SKUs / quantities
  • Ready dates / delivery schedule
  • Carton count / counting scope
  • Storage period / release plan
  • Discrepancies / handling instructions
Supporting details for the scope
  • Expected SKU quantities and supplier delivery references
  • Storage duration and release schedule
  • Batch or expiry information where relevant
  • Instructions for shortages, damage or unplanned stock

Agree the scope before work begins.

Storage conditions, insurance, stock reporting frequency and fees must be agreed. Temperature-controlled or hazardous storage is not assumed.

Confirm materials, labor, storage, transport, destination charges and the release approval in writing. See the pricing scope for the cost categories.

Keep the next stage connected.

Holding stock before the next decision.

Define what will be recorded at arrival, what remains unverified and which work needs a later approval.

Service scope and responsibilities.

Can I release only part of my stock?

A staged release can be scoped by SKU, channel or batch. Agree the remaining balance, storage period and instructions for later preparation.

What happens if the receiving count differs?

Keep the discrepancy linked to the supplier delivery and hold the affected quantity for an approved decision before release.

A stock record for each supplier arrival

Connect each supplier arrival to the stock you can release, the exceptions on hold and the quantities selected for consolidation.

  2. Available and held stock: Separate quantities available for release from shortages, damaged items, mixed variants and stock awaiting instructions.
  3. Consolidation decision: Name the supplier batches and quantities to combine. Confirm whether repacking, relabeling or kit assembly is included.
  4. Release approval: Keep the approved destination, carton list and stock balance with the instruction. Record who approved release and which inventory remains.
